Real Estate Intake Specialist & Transaction Coordinator

As a key member of the Castle Law Real Estate team, you will play a pivotal role in streamlining and managing the intake and transaction processes for property sales and purchases. Your primary responsibility will be to ensure that all aspects of real estate transactions are handled efficiently, accurately, and within legal boundaries. This position requires strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. This position will be based at our office located in Oak Brook, IL. This is not a remote position.

Key Responsibilities

  • Review all sales contracts for necessary information and enter data into our CRM system. If the information is incomplete, contact all responsible parties for necessary information.
  • Review all documentation and confirm proper signatures and dates are present to complete the property sale process quickly and smoothly.
  • Oversee all administrative tasks regarding property buyer and seller transactions from executed purchase agreement to close.
  • Support execution of the company's internal closing calendar and confirm all closings with title company and all parties involved in the transaction.
  • Support attorneys, paralegals, realtors, and other parties with transaction-related paperwork, such as earnest money documentation, date-sensitive information, and necessary closing documentation and post-closing items including client follow-up and gathering of reviews/testimonials.

Qualifications

  • Experience in real estate, transaction management or coordination, titles, and/or mortgages preferred.
  • Passionate about providing excellent customer service.
  • Must have excellent organizational and communication skills.
  • High school diploma required; Associate's degree preferred.
